Key takeaways in 30 seconds
- A garage misses 30–50% of its calls during workshop hours: nobody is at the desk, and you do not answer from under a lift
- A missed call does not call back — it calls the next garage, because a breakdown does not wait
- A voice agent books the appointment, the reason and the vehicle, straight into the calendar without interrupting the job in hand
- What it must NOT do: diagnose and quote. A price given on the phone and contradicted at the workshop destroys trust
The problem is physical, not commercial
A two-to-five person garage has a constraint few trades share: hands busy and dirty for most of the day. The phone rings precisely when you cannot answer.
So most garages run a knowingly degraded service: call back "when there's a minute", meaning 7pm, when the customer is busy too. By then they have called two other garages and booked with whoever picked up.
That is not poor service. It is a physical constraint — exactly the kind of problem a system solves better than more effort.
What a voice agent does well here
Books with the right information. A useful garage appointment holds four things: name, vehicle, reason, availability. The agent asks in order and places the slot.
Separates urgent from schedulable. "My car won't start" and "I need a service next month" deserve different answers.
Answers the questions asked thirty times a week. Do you do MOTs? Do you lend a car? Do you take my make? Open Saturdays?
Covers nights and weekends. Breakdowns rarely happen at 10am on a Tuesday. The Sunday-evening call decides where the car goes on Monday.
What you must not automate
Diagnosis. A customer describing a noise never describes the right noise.
Quoting. The costliest mistake. "Around €250" against a €480 invoice loses the customer and earns a one-star review. Write the rule into the configuration: never quote without an inspection.
Disputes. An unhappy customer must reach a human immediately.
Setting it up without breaking anything
Use conditional forwarding: the garage keeps its number, and calls only reach the agent after five rings or when the line is busy. Nothing changes for customers or staff, and the agent only takes what would have gone unanswered.
